A Digital Queue System for Your Clinic, on Your Own Website

The waiting room is full. People stand in the corridor. Every few minutes someone asks the receptionist, “How long more?”

A digital queue system for your clinic lets patients join the line, then wait wherever they like. They open a link on their phone and see their queue position and an estimated wait. Your front desk answers fewer questions, and your waiting area gets less crowded.

ExioCraftz builds this as a custom system on your own website, with your branding. It is made by the two founders, Krish Grover and Aagam Jain. We reply within 24 hours.

For patients

How a digital queue works for patients

  1. Join the queue. The patient is added to the queue and gets a token.
  2. Watch the line move. On their phone they see their place in the queue and an estimated wait.
  3. Come in when it is close. They can step out for tea or wait in the car, and return when their turn is near.

The exact flow is designed around each clinic: how patients join (for example a link or QR code), what your staff use to manage the queue, and whether patients get notifications. We agree these details with you before we build.

The wait estimate is an estimate, not a promise. Consultations run long, emergencies happen. We agree with you how it is calculated, so it reflects how your clinic really runs.

For your team

What your staff see

Your staff get a simple screen to manage the queue, and the patient view updates as the queue moves. What it shows and what controls it has depend on your clinic.

Because it is custom, we shape it around your workflow: one doctor or several, walk-ins only or walk-ins plus appointments, one clinic or more than one location.

Honest take

Honest take: do you need a custom system?

Simple token tools exist. Some are cheap, charge per token and work well. If you are a small clinic and only want numbered tokens on a phone, one of those may be enough, and we will tell you so.

A custom system makes sense when you want:

  • Your own site and branding. Patients see your clinic’s name and look, not a third-party app’s.
  • Your own flow. Rules that match how your clinic runs, not a generic template.
  • Your data in one place. Visit and queue information sits with a system built for you, and you can add to it later (a website, appointment requests, an admin dashboard).
  • Room to grow. The queue can sit alongside a full clinic website, so one system does more than one job.

If a ready-made tool fits your clinic today, use it. If you want something that is yours, talk to us.

Beyond clinics

Not just clinics

The same digital waiting list works for any place with a line:

  • Salons and barbershops (walk-in queues, “you are 4th” updates).
  • Service counters and repair or service centres.
  • Restaurants with a waiting list for tables.

See also our online ordering system for restaurants. If customers pick a time in advance instead of joining a line, an online appointment booking system fits better, and the two can work together. Browse all our services.

Process

How we build it

  1. Talk. You tell us how patients arrive today, how many doctors or counters you have and what annoys you most about the waiting area.
  2. Quote. We send a written quote with scope, cost and timeline. Nothing starts until you agree.
  3. Design. You see the patient screen and the staff screen before we build.
  4. Build and test. We build it, and your staff try it on real queues.
  5. Launch and support. We stay on after launch to support, maintain and improve it.

What affects the timeline: the number of doctors or counters, whether you need appointments on top of walk-ins, whether it comes with a full clinic website, and how fast you share branding and details.

Our work

See how we build

We do not have a public clinic demo to show you. What we can show is our work: Raj Steels, a real client’s mobile-first business site, and a restaurant ordering demo we built, Ember & Plate, with live order tracking. See the Raj Steels case study and our work. If you want to see how a live status screen feels on a phone, the Ember & Plate tracking screen is the closest example.

Questions

FAQ

What is a digital queue system for a clinic?

It is software that lets patients see their place in the queue and an estimated wait on their phone, while your staff manage the queue.

How do patients join, and what do staff use?

That is designed around each clinic. We agree the flow with you before we build: how patients join (for example a link or QR code), the staff screen and controls, and whether patients get notifications.

How is this different from a cheap token app?

Simple token tools exist and may be enough for a small clinic. Our version is custom: it runs on your own website, uses your branding and follows your clinic's workflow. We will tell you if a ready-made tool is the better fit.

Is the wait time accurate?

It is an estimate. Real waits change with consultation length and emergencies. We agree with you how the estimate is calculated, and it updates as the queue moves.

Does it work for salons or other businesses?

Yes. The same digital waiting list works for salons, service counters and restaurants.

How much does it cost?

We do not publish fixed prices. After a short conversation we send a written quote with scope, cost and timeline, so you know the amount before work starts.

Will you support it after launch?

Yes. We stay on after launch to support, maintain and improve what we build.
